Owner Builder Project Management

Being an Owner Builder, does not mean you have to swing a hammer, hang plaster, dig a trench or stand a frame.

Not unless you want to.

Most people who take on an owner builder project simply manage or administer the project.

Did I say simply?

It’s not that easy, but it is a skill that can be learnt and there are plenty of resources and tools out there to help you along the way.

The most important thing is to be organised, and in many cases, we see the girls are much better at this than the boys.

But almost anyone can do it. One question I get asked all the time when helping owner builders is “how much will I save?” and my answer is always the same.

“That all depends on how much time and effort you can devote to the project and how well you listen to the advice that our people are going to give you”

Realistically, you will need to be able to give the project at least three hours per day (on average) for the duration of the project which could be anywhre from 3 to 18 months depending on the size and complexity of the job.

I know, I didn’t answer your question, so consider this.

A builder, rarely picks up a hammer, hangs plaster etc these days, there is simply to much paperwork and administration to look after, most of which you can do yourself.

If you took the cost of the construction, including materials, labour and consultancy fees such as building design etc then a builder would add 30% on top of this figure to cover overheads, administration and profit.

Sounds like a lot? Well in real terms it isn’t, not if they are doing their job properly, in fact it is very reasonable.

So why would you take it on?

Because most if not all of those adminstrative and management tasks can be completed by you is you work to a plan and stick to a proven system.

“So, potentially I could ssave 30%” you might ask.

Possible but not likely, if you said 15 to 20% that would be more realistic.

What does project management for an owner biulder project mean?

It means you will be responsible for:

- Planning the project and establishing a realistic construction schedule

- Calling for tenders for works to be completed by sub contractors

- Making certain all admistrative functions are complete such as insurances, accounts and finance

- Coordinating the trades on site during the construction phase

- Planning and ensuring all required inspections are conducted

- Managing disputes or variations to the contract

- Making payments to contractors for completed works

- Maintaining accurate project records and filing warranties, guarantees etc

- Coordinating the delivery of materials to site during the construction phase

- Managing and maintaining safety of the site and all person working on the site

As you can see, at first glance it looks quite daunting, but remember even the largest of jobs or projects can be broken down into small bite sized pieces that can be easily handled or managed.

What is the Owner Builder P.E.T.S. Program™?

The PETS Program has been developed specifically to provide our Owner Builders the best opportunity to get their project on track right from the start.

We achieve this by:

• Providing powerful tools and information systems as included in our purpose designed Owner Builder Project Management System, and

• By guiding and assisting you though the maze of preliminary actions required at the commencement of each and every construction project.

The Owner Builder P.E.T.S. Program™ brings together two unique and custom designed systems developed specifically by Owner Building Solutions Australia to complement our quality training and education.

Through the program, the Owner Builder Project Management System and the Owner Builder Planning Program are customised to meet the individual requirements of your Owner builder project.

Following a comprehensive planning schedule, an Owner Building Solutions Australia consultant will guide you through the four major steps during two scheduled one on one sessions totaling 10hrs of tuition and training.

This training can take poace in house, or where the owner builder is not easily accessible, via the email and web systems we have in place.

The sessions include the development and customisation of a Project Management System dedicated to your project, and includes:

Project Management

Using an appropriate Owner Builder Project Management System to coordinate and administer your Owner Builder construction, is the best way we know to run a successful domestic construction project.

Each of our clients who undertakes a Owner Builder P.E.T.S. Program™ will receive an Owner Building Solutions Project Management System which comes complete with a comprehensive user manual and an interactive resource disc which contains:

• Schedules
• Forms
• Letters
• Spreadsheet Solutions and
• Registers

The included resources are typical of the documentation and proforma commonly used to record and coordinate site activity and administrative processes common on a small construction site.

During the first session, your OBS consultant will introduce you to the contents and functions of the system and customise forms and schedules to include your relevant site and project specific details.

Estimating

This important second step will include your OBS consultant establishing a budget estimate for your project based on detailed information provided by you, the Owner Builder.

Using established rates and known quantites, OBS will develop a budget for not only the overall project, but also a breakdown of estimates for each of the individual trades or suppliers.

We show you how to use this information as a powerful tool in evaluating tenders, offers and quotations that will be received during the tender process which will be run by the Owner Builder.

This process is established jointly by yourself and OBS, with progress being monitored and supervised by your OBS consultant.

You will be involved in each step of the estimating and budget development process, highlighting important areas of consideration which may be otherwise overlooked.

Through this session, you will achieve a real understanding of the financial requirements of your project and gain an understanding of the importance of appropriate draw down schedules.

We will even assist you to develop a cash flow projection based on a ‘provisional’ building schedule.

Tendering

Once the budgets are established and you have determined finishes and fixture requirements, your OBS consultant will guide you through the tender process.

Using the tools in the Project Management System and our wide ranging industry network, we will:

• Assist you to identify suitable suppliers and trade contractors
• Prepare tender documentation (up to 40 sets)
• Complete relevant registers, schedules and control sheets
• Provide instruction in running you tender process using the tools provided

During your second session, your OBS consultant walks you through the tender evaluation process and guides you to develop letters of acceptance and identifying appropriate contract documentation for use in engaging successful contractors.

Scheduling

A large part of your second session with your OBS consultant will be devoted to identifying projected start dates and establishing a realistic construction scheduled.

This important tool allows you to not only monitor the progress of your project, but also helps you to accurately forecast cash flow requirements and potential project delays.

A well organised project saves you time and money, a realistic and well constructed building schedule is the best way we know to monitor, track and adjust project performance.
